How to Convert an Excel Spreadsheet to a Distribution List
- 1). Make sure your list includes at least the first name, last name and email address for each recipient.
- 2). Click "Save as..." from the File menu. Select "Other Formats" from the "Save as" dialogue box.
- 3). Select ".csv (comma delimited)" from the "Save as Type" drop-down menu. Click "Ok" from the dialogue box.
- 4). Click "Yes" from the next dialogue box. This dialogue explains that some features may not be supported in the selected format.
- 5). Save the file and open Outlook or your email program.
- 1). Create a new distribution list. This step is necessary to prevent merging your exported contacts with your existing contacts.
- 2). Select "New" and then "Folder" from the File menu. Enter a name for the new folder and select "Ok."
- 3). On the file menu, select "Import and Export." Select "Import from another file or program" in the "Import and Export Wizard" dialogue box.
- 4). Select "Comma separated values (Windows)" in the "Import a file" dialogue box. Select "Next."
- 5). Select the "Browse" button and locate the file you created from Excel and then select "Next." Select your newly-created contacts folder and select "Next." Select the "Import" file check button. It should be highlighted.
- 1). Select the values from your Excel list in the "Map Custom Field" dialogue box.
- 2). Match each value in the "From" side with the "To" side of the dialogue box. This step will ensure the first name, last name and email address fields are properly linked in your distribution list.
- 3). Select "Ok" and then click "Finish."
